How to Turn Your Plaud AI Meeting Notes Into CRM Records Automatically
Stop copying and pasting. ScribbleIQ extracts contacts, companies, deals, and next steps from your Plaud transcripts — and pushes them straight to your CRM.
If you’re using a Plaud Note or NotePin to record sales meetings, you already know how good it is at capturing everything. The transcripts are clean, the summaries are useful, and you never miss a detail.
But then what?
You still have to read through the transcript, pull out the contact name, figure out the company, estimate the deal value, note the next steps — and manually type all of that into Salesforce, HubSpot, or whatever CRM your team uses. That’s 10–15 minutes of admin work per meeting, and it’s exactly the kind of thing that gets skipped when you’re running between calls.
ScribbleIQ fixes that gap. It takes the output from your Plaud recordings and automatically extracts structured CRM data — contacts, companies, opportunities, action items — then creates or updates records in your CRM with a single click.
Here’s how to set it up.
What you’ll need
- A Plaud device (Note, Note Pro, or NotePin) with recordings synced to the Plaud app
- A ScribbleIQ account — sign up at app.scribbleiq.ai
- Your CRM connected to ScribbleIQ (Salesforce, HubSpot, or Zoho)
Step 1: Export your transcript from Plaud
Open the Plaud app and find the meeting recording you want to process. Tap into the recording detail view, where you’ll see the full transcript and AI summary.
Option A — Copy the transcript text. Tap and hold on the transcript, select all, and copy it to your clipboard. This is the fastest method if you’re working from your phone.
Option B — Export as a text file. Use Plaud’s export feature to save the transcript as a TXT or Word file. This is better if you want to process multiple meetings in a batch or prefer working from your desktop.
Either way, you want the full transcript — not just the summary. ScribbleIQ’s AI extraction works best with the complete conversation because it picks up details that summaries often leave out: specific dollar amounts mentioned in passing, the name of a referral source, or a competitor that came up during the discussion.
Step 2: Paste or upload into ScribbleIQ
Log into ScribbleIQ and start a new extraction.
If you copied the text: Paste it directly into the note input field. ScribbleIQ accepts raw meeting transcripts — they don’t need to be cleaned up or formatted first. Speaker labels, timestamps, filler words — all of that gets handled automatically.
If you exported a file: Upload the TXT or Word document using the file upload option.
Step 3: Review the extracted data
ScribbleIQ’s AI reads through your Plaud transcript and pulls out structured fields:
- Contact name and role
- Company name and industry
- Deal details — estimated value, stage, product interest
- Next steps and follow-up dates
- Additional context — referral sources, competitors mentioned, territory info
You’ll see all of this laid out in a clean review screen before anything touches your CRM. Edit any field if needed — and those corrections feed back into your profile so ScribbleIQ gets smarter for your future extractions.
ScribbleIQ also runs enrichment automatically, filling in company details like phone numbers, addresses, and industry classifications that weren’t mentioned in the conversation but are useful for your CRM record.
Step 4: Push to your CRM
Once you’ve confirmed the extracted data, hit send. ScribbleIQ creates the appropriate records in your connected CRM:
- New contact? Creates the contact record with all available fields.
- Existing contact? Matches against your CRM and updates the record, avoiding duplicates.
- New opportunity? Creates the deal record linked to the right contact and company.
- Follow-up needed? Notes the next steps and dates so nothing falls through the cracks.
The entire process — from Plaud transcript to CRM record — takes about 30 seconds of active work.
Tips for getting the best results
Use the full transcript, not just the summary. Plaud’s AI summaries are good for your own reference, but they compress details that matter for CRM data entry. A summary might say “discussed pricing” while the transcript contains “mentioned a budget of $50K for Q3.” ScribbleIQ needs those specifics.
Let ScribbleIQ learn from your corrections. The first few extractions might need light editing — maybe your industry uses non-obvious job titles, or your territory has a naming convention your CRM expects. Every correction you make trains your ScribbleIQ context profile, so accuracy improves over time.
Set up your CRM connection during onboarding. ScribbleIQ connects to Salesforce and HubSpot via OAuth — no API keys to manage, no IT tickets to file. The connection takes about 60 seconds and you only do it once.
Process meetings the same day. The sooner you run your Plaud transcript through ScribbleIQ, the sooner those records exist in your CRM — and the easier it is to catch any details while the conversation is still fresh.
Why not just use Plaud’s built-in CRM routing?
Plaud’s Flow feature can send transcripts and summaries to tools like Google Drive, Slack, or email. But routing a raw transcript to your CRM isn’t the same as creating structured records from it.
Sending a meeting transcript to Salesforce doesn’t create a contact. It doesn’t log an opportunity. It doesn’t fill in the company’s industry or link the deal to the right account. You’re still doing the data entry — you’ve just moved where you’re reading from.
ScribbleIQ does the extraction and structuring that turns a transcript into actual CRM records with real field values. That’s the difference between moving text around and eliminating data entry.
What Plaud devices work with ScribbleIQ?
Any Plaud device that produces a transcript works. That includes:
- Plaud Note — the original credit-card-sized recorder
- Plaud Note Pro — quad-mic upgrade with better noise isolation
- Plaud NotePin — the wearable clip-on recorder
As long as you can get the transcript text out of the Plaud app, ScribbleIQ can process it.
Coming soon: Direct integration
We’re tracking Plaud’s upcoming account-level API, which will allow ScribbleIQ to pull transcripts directly from your Plaud account — no copy-paste or export needed. When that becomes available, we’ll add a native Plaud integration so your workflow becomes fully automatic: record the meeting, and the CRM records appear.
In the meantime, the paste-and-extract workflow takes less than a minute per meeting and eliminates the most tedious part of your day.
